Root & Harvest is a community for gardeners, farmers, homesteaders, producers, and people who want to connect and support one another locally.
This Privacy Policy explains how Membr Systems LLC, a Texas limited liability company (“Root & Harvest,” “we,” “us,” or “our”), collects, uses, and discloses personal information through the Root & Harvest website and mobile app (together, the “Services”). Membr Systems LLC is responsible for the personal information described in this policy and, where applicable, acts as its data controller.

1. Information we collect
Account and profile information
An email address and password are required to create an account. You may optionally provide your name, phone number, birthday, profile photo, city, ZIP or postal code, interests, business information, social media links, and additional photos. If you provide your birthday, we store your full date of birth.
You can use an account without completing the optional profile fields. Information you add to your profile may be visible to signed-in members as described below.
Content and communications
We collect content you submit, including posts, photos, comments, business listings, and messages. Members cannot upload videos.
Private messages are stored on our servers to provide messaging functionality. Root & Harvest administrators cannot review private messages through the administration tools. Server storage does not itself mean messages are end-to-end encrypted.
We also collect information you submit through the website contact form, in support emails, or when reporting content or users. Please provide only the information necessary for your request.
Location
With your device permission, the app accesses your GPS location to help you find nearby members and businesses. Your GPS location is not displayed to other members. A city or postal code you add to your profile may be visible to signed-in members.
You can deny or revoke location permission in your device settings. Nearby results may be limited when location access is disabled. The app does not collect location in the background or while it is closed.
Photo library
With your permission, the app accesses your photo library so you can select photos to upload. You can manage or revoke this permission through your device settings. Revoking permission does not automatically remove photos you previously uploaded.
Purchases
The Services support purchases of event tickets and products. Payments are processed through Stripe. Stripe processes payment and transaction information needed to complete a purchase, prevent fraud, and meet its legal obligations.
Root & Harvest does not share your address with sellers or event organizers. Any information collected directly by Stripe through its payment forms is also governed by Stripe’s privacy policy.
Usage information and analytics
We use Google Analytics for Firebase to understand how people use the Services and to improve them. Depending on the enabled configuration, analytics information can include app interactions, device and operating-system information, app version, app-instance identifiers, and approximate location derived from network information.
2. How we use information
We use personal information to:
- Create and maintain accounts and provide community features.
- Display profiles and member-submitted content to the appropriate audience.
- Help members discover nearby members and businesses.
- Deliver private messages.
- Facilitate purchases of tickets and products.
- Respond to contact forms, support requests, and privacy requests.
- Handle content reports, blocking, misuse, and community safety concerns.
- Understand usage and improve the Services.
- Send newsletters and service communications.
- Meet applicable legal obligations and respond to valid legal requests.
We do not use AI to process member content, private conversations, or contact-form submissions.
3. What other people can see
Public information: Events and news are publicly accessible. Information included in those sections may be seen by people without an account and may be indexed by search engines.
Member information: Profiles, posts, photos, comments, business listings, and other community content are available only to signed-in members, subject to the audience of the relevant feature. This does not make private messages visible to all members.
Private messages: Messages are available to the participants in the conversation. Administrators cannot review them through the administration tools.
Location: We do not show your GPS coordinates to other members.
Account credentials are not public profile information. Avoid including information in your profile or content that you do not want its audience to see. Other people may copy, save, or share information they can access, and deleting your account cannot remove copies independently retained by others.
You can report user-created content and block users through the app.
4. Service providers and other disclosures
We do not sell member personal information or provide it to advertisers for their own marketing. We do use outside providers to operate the Services. These providers receive or process information necessary for their services, including:
- Google / Firebase: Usage analytics.
- Stripe: Payment processing and related transaction services.
- Emailit: Sending newsletters and email communications.
- Hosting provider: Hosting and storing the Services and their data.

We may also disclose information when required by applicable law or valid legal process, or where legally permitted and necessary to address fraud, protect safety, or establish, exercise, or defend legal claims.
Information you choose to publish or send to another member is disclosed to the audience you select or the audience of that feature.
5. Newsletters and your choices
We use Emailit to send newsletters. You can unsubscribe using the unsubscribe option in our newsletters or by contacting support@rootandharvest.app.
Unsubscribing from newsletters does not prevent necessary communications about your account, purchases, security, or privacy requests.
You can also manage your optional profile information and control the app’s location and photo permissions through your device settings.
6. Legal grounds for processing
Where applicable privacy law requires a legal basis, we process information on the following grounds:
- Providing the Services: Processing necessary to create and operate your account, deliver requested features, and facilitate purchases.
- Consent: Processing for which permission is required, including applicable location, analytics, and marketing activities. You may withdraw consent at any time. Withdrawal does not affect processing that was lawful before you withdrew it.
- Legitimate interests: Operating, securing, supporting, and improving the Services, and preventing misuse, where these interests are not overridden by your rights.
- Legal obligations: Processing necessary to comply with applicable law.
Providing optional information is voluntary. Withholding information needed for a particular feature may limit that feature.
7. Retention and account deletion
You can delete your account from within the app. Deletion immediately removes your account data and content from Root & Harvest’s active systems, including your posts, photos, settings, business listings, and messages.
Account deletion does not necessarily delete records that an independent provider must keep. For example, Stripe may retain payment-related information to satisfy its legal obligations. Deletion also does not remove screenshots, downloads, or other copies previously saved by other people, or copies retained by search engines.

8. International users and transfers
Root & Harvest is operated by Membr Systems LLC in Texas and is available internationally. Our providers may process personal information in countries other than your country of residence, where privacy laws may differ.
9. Your privacy rights
Depending on where you live and which laws apply, you may have rights to:
- Know how your personal information is collected, used, and disclosed.
- Access your personal information and receive a copy.
- Correct inaccurate or incomplete information.
- Request deletion.
- Restrict or object to certain processing.
- Receive certain information in a portable format.
- Withdraw consent where processing relies on consent.
- Opt out of applicable targeted advertising, sale, or sharing as defined by local law.
- Appeal a denied privacy request where applicable.
- Complain to your local data protection authority.
We do not sell personal information or use member information for targeted advertising.
To exercise a right or appeal a decision, email support@rootandharvest.app. We may need to verify your identity before acting on a request. Where applicable law permits an authorized agent to act for you, we may request evidence of that authorization.
We will handle requests within the time required by applicable law. Some rights have legal exceptions or limitations. We will not unlawfully discriminate against you for exercising your privacy rights.
10. Security
No internet service, transmission method, or storage system can be guaranteed completely secure. Keep your password confidential and contact us if you suspect unauthorized access to your account.
11. Adults only
The Services are intended only for adults aged 18 or older. People under 18 may not create an account or use the member community.
If you believe a person under 18 has provided us with personal information, contact support@rootandharvest.app so we can investigate and remove the information as appropriate.
12. External links
Profiles, business listings, news, events, and other content may contain links to third-party websites or social media pages. Those services have their own privacy practices. Review their policies before providing information to them.
13. Changes to this policy
We may update this Privacy Policy as the Services or our practices change. We will post the updated policy and revise its effective date. Where required by law, we will provide additional notice or obtain consent before making applicable changes.
